Complete your migration before 31 October 2026.
New dashboard: app.botbiz.io

Your Botbiz account and subscription plan have already been migrated. Your next step is to reconnect WhatsApp and prepare your contacts, templates, chatbots, and automations on the new dashboard.

Follow the seven steps below. Back up your data before removing the old connection, and test the new setup before restarting campaigns.

What is changing?

The new dashboard uses credit line billing through your Botbiz wallet. You recharge your wallet in Botbiz, and we handle Meta billing for messages sent through this connection.

Previously	On the new dashboard
You managed message billing directly with Meta.	Botbiz handles Meta billing through the credit line connection.
You managed the payment method in Meta.	You recharge your Botbiz wallet and maintain sufficient funds.
Your templates and workflows used the old connection.	You recreate templates and configure workflows for the new connection.

Your subscription and message usage are separate. An active subscription does not replace the wallet recharge required for paid messaging. Check the applicable message rates, taxes, and recharge details before paying.

Before you begin

Make sure you have access to:

Your registered Botbiz email address.
The Facebook profile with the required permissions for your business portfolio.
Your WhatsApp business number and any verification method requested by Meta.
The old dashboard, so you can save important data.

Choose a quiet period for the switch. Allow time for reconnection, template review, and testing, and plan an alternative for time-sensitive order updates or authentication messages.

Step 1 — Log in to the new dashboard

Visit app.botbiz.io.
Use the password-reset option and enter your registered Botbiz email address.
Open the reset email, set your password, and log in.
Check that your migrated account and subscription plan are available.

Before continuing: Confirm that you can access your account. If the account or plan is missing, contact Botbiz Support before removing the old WhatsApp connection.

Step 2 — Back up your data and pause sending

Save the following from your old dashboard:

Contacts: Export names, complete phone numbers, tags, custom fields, and opt-out information where available.
Templates: Save the text, category, language, variables, sample values, media, buttons, and links.
Chatbots and automations: Export them if supported, or record their triggers, conditions, messages, delays, and actions.
Campaigns and follow-ups: Record schedules and recipients already contacted to prevent duplicate sends.
Integrations: List connected stores, forms, webhooks, APIs, and other services that need reconfiguration.
Important records: Save essential conversations, reports, and billing documents using the available export options.

Pause campaigns, scheduled follow-ups, and external triggers that send through the old connection.

Before continuing: Check that your backups are accessible and old sending jobs are paused. Migration of your account and subscription does not confirm that historical conversations, files, or workflows have transferred.

Step 3 — Remove the old Messaging account

Important: removal deletes the old account’s templates.
Complete your backups and check the selected account before confirming.

For the Messaging account you remove:

All message templates will be deleted and must be created again.
Marketing, utility, and authentication messages in progress will stop.
The payment method and billing setup for that account will be removed.

Removal steps in Meta

Open Meta Business Suite → Settings and select the business portfolio that owns the old connection.
Under Accounts, open Messaging accounts.
Select the old Messaging account and verify its linked WhatsApp number. Check carefully if several accounts have the same name.
Open the three-dot menu beside WhatsApp Manager.
Select Remove from business portfolio.
Read the warning and confirm after checking the account and completing your backups.

Removal path: Accounts → Messaging accounts → select the old account → three-dot menu → Remove from business portfolio.

Confirm removal: Meta should confirm that the intended Messaging account has been removed. If an outstanding balance or another restriction blocks removal, resolve the displayed issue or contact support.

Removing billing settings does not confirm that previous charges have been settled.

Video reference: Earlier WhatsApp number and WABA removal walkthrough.

This guide uses the current Messaging accounts route shown above. Older video screens may differ; the older title does not mean you must delete additional assets. If your screen differs, ask Botbiz Support to identify the correct account.

Step 4 — Connect WhatsApp to Botbiz

Watch the setup: Set Up WhatsApp Business API on the New Dashboard.

A. Start the connection in Botbiz

Click Add Channel, choose WhatsApp, then click Add new WhatsApp account.
Under Choose Integration Method, select Solution Partner. This uses credit line billing with wallet recharge.
In Embedded WhatsApp Signup, choose Without Catalog for the standard messaging setup shown in the video, or With Catalog if you need catalog permissions.
Click Launch Embedded Signup.

B. Complete Meta’s signup

Sign in with the Facebook profile that manages your business and continue through the onboarding screens.
Select or enter your WhatsApp number with the correct country code. Complete the verification requested by Meta.
Select the correct Business portfolio. For the fresh-account flow demonstrated in the video, choose Create a WhatsApp Business account.
Enter the requested business information, including the name, category, and time zone.
Review the business assets and permissions, then confirm the connection.
Return to Botbiz and wait for setup to finish.

Meta may show different options for an existing number or a number used with the WhatsApp Business app. Follow the prompts appropriate to your number. If Meta keeps selecting the old account or offers no suitable option, contact support before removing further assets.

C. Confirm the connection

Check that the correct number appears. The completed setup in the video shows:

Status: Active.
Billing Type: Credit line (through wallet).
Credit line: Attached.

Before continuing: Confirm the number and billing attachment. Test actual sending and receiving in Step 7.

Step 5 — Recharge your Botbiz wallet

Open the wallet area in the new dashboard. The setup video shows the wallet balance in the top bar.
Review the applicable message rates, taxes, and recharge details.
Add funds using the available payment options.
Confirm that payment succeeded and the wallet balance updated.

Botbiz handles Meta billing for this credit line connection. You do not need to add a direct Meta payment method for it. Applicable message charges are handled through your Botbiz wallet.

Before continuing: Make sure the wallet has sufficient funds for paid messages. Keep it funded before enabling campaigns or automations.

If you had an old balance or credit, ask support about its treatment rather than assuming it transferred.

Step 6 — Restore your data and workflows

Import your contacts

Map the available fields correctly and check several records, including complete phone numbers and country codes. Preserve opt-outs and avoid duplicates.

Recreate your message templates

Open WhatsApp → Templates, rebuild your saved templates, and submit them for Meta review. Check the category, language, variables, media, buttons, and links.

Wait for approval before using each template. Templates from the removed account are not automatically ready on the new connection.

Configure chatbots, automations, and integrations

Rebuild triggers, conditions, replies, delays, and follow-ups for the new connection.
Replace old template references with the newly approved templates.
Reconnect stores, forms, webhooks, APIs, and other services.
Check team access and assignments where applicable.

Before continuing: Required contacts and approved templates should be available, and workflows should use the correct connection. Keep sending jobs paused until testing is complete.

Step 7 — Test and restart messaging

Use a test contact to complete these checks:

Incoming messages: Send a message to your business number and confirm it appears in the new Team Inbox.
Replies: Reply from Botbiz and confirm the recipient receives it.
Templates: Send an approved template to a test contact who has agreed to receive it.
Billing: Check the delivery result and any applicable wallet charge.
Automations: Run each essential chatbot, follow-up, and connected workflow with test data.
Integrations: Test order updates, forms, and other services your business depends on.
Duplicate prevention: Confirm that the old setup remains paused and that restarting schedules will not resend messages already delivered.

Ready to resume: Restart campaigns and automations after sending, receiving, wallet billing, and critical workflows pass these checks.

Troubleshooting

Issue	What to check
Password-reset email is missing.	Use your registered Botbiz email and check spam or junk. Contact support if access still fails.
Removal is missing or blocked.	Check the selected portfolio, account, permissions, and any error shown by Meta.
Meta selects the old account or reports a payment-method conflict.	Confirm which Messaging account was removed and share the exact error with support. Avoid deleting other accounts repeatedly.
Templates are missing.	Recreate them on the new connection and check approval before using them.
The connection is active but messages fail.	Check wallet funds, credit line attachment, template status, and the specific error. A recharge does not resolve every delivery issue.
Automations do not run.	Check the selected channel, trigger, template references, integration settings, and whether the workflow is enabled.

Final migration checklist

Logged in to the new dashboard and verified the migrated subscription.
Backed up important data and paused old sending jobs.
Removed the correct old Messaging account.
Connected the correct WhatsApp number.
Confirmed credit line attachment and recharged the wallet.
Imported contacts and recreated the required approved templates.
Configured chatbots, automations, integrations, and team access.
Tested sending, receiving, billing, and essential workflows.
Completed migration before 31 October 2026.
